Where a bot can help

Consider a garage receiving appointment enquiries. The bot asks about the service, vehicle and problem, then sends a structured request to a member of staff. The conversation can continue with the details already available. This is an illustrative workflow, not a CELORA client case.

The confirmation must match what happened. If a preferred time has only been sent to staff, say “Request sent. The administrator will confirm the time” rather than “You are booked”.

  • Renovation: property details, floor area and proposed work.
  • Restaurants: reservation requests passed to an administrator.
  • Transport: route, date, cargo and loading requirements.
  • Training: programme selection and consultation enquiries.

Start with the bottleneck

Choose the part of a conversation that repeatedly slows down. Staff may be collecting the same details, or customers may struggle to choose a service. The first version can address that specific task.

Define the customer action, required information and the next step for your team. Who receives a request? Where is it saved? What happens after an error? Ask only for information needed to continue and keep a clear route to a person.

When CRM, payments or AI are useful

A CRM integration can reduce manual copying. Agree on the fields, responsible staff member and fallback when the system is unavailable.

Telegram supports Mini Apps and payment workflows. A catalogue or more complex interface may warrant a Mini App; payment options depend on the product and current platform rules.

AI can help customers find answers in a large knowledge base. A few clear buttons may be more useful for a simple task. For AI, agree on answer sources and escalation to staff.

Measure the useful outcome

Review how many people start the workflow, complete an enquiry and leave at each point. Assess enquiry quality and staff handling time separately. Keep contact details and message contents out of analytics events.

A bot needs a route in: your website, channel, advertising or customer materials. Plan the workflow and acquisition together. Compare performance with the previous handling process instead of counting bot launches alone.

Prepare a first brief

Describe your service, a typical customer question and the desired outcome. Add an anonymised conversation example, required integrations and the destination for enquiries. Include your budget and desired timing if known.
